Job Summary

The Data Verification Clerk is responsible for tracking and reporting on several administrative tasks that keep the day-to-day operations of the campuses functioning. This includes monitoring and reporting on daily attendance, student grades and marks, student transcripts, etc. This role is also responsible for providing reports to the campuses that will enable them to effectively manage their campus, staff and students.

Duties and Responsibilities

  • Compile data, statistics and other information as required
  • Maintain filing systems and controlling confidential materials and documents
  • Respond to head office enquiries
  • Monitor and check off completion of received grades, Appendix H’s. Notify Admissions/Campus Director if anything is missing over the 1 week period.
  • Download action plans, track submissions and non-compliance
  • Responsible for sending course evaluation links to each cohort
  • Monitor AGAR for placement hours entered by running the missing placement attendance report. Advise CDs and Student Success when attendance is missing, including monitoring program-specific placement tracking software (like CompTracker or InPlace).
  • Enter student grades into Moodle program landing pages as required by program.
  • Enter student grades into the Transcript App.
  • Monitor student grades for failed courses and notify campuses
  • Provide reports to the campuses as needed for missing marks or failures
  • Update/add to the Appendix H sign-off tracking sheet and report any missing signoffs to the respective campuses.
  • Review AGAR reports and inform proper personnel of any issues or discrepancies
  • Maintain / update and add case notes to GoldMine
  • Check voicemails and return any urgent or missed calls.
  • Monitor and prepare for meetings as needed.
  • Review course evaluations and flag low scores or concerning comments requiring action. Provide a report of this review (i.e., who is not doing them, summary of results, required actions) to the Campus Directors and Academics Department.
  • Assist with answering phones to cover for wellness days, illnesses, or other campus needs as approved by your supervisor.
  • Monitor upcoming placement procurement and notify management of any irregularities
  • Download book lists to specified folder monthly (needs to be available on Moodle)
  • Monitor completion of accommodation requests, notify management of anything outstanding
  • Monitor completion of campus scheduling by set deadlines.
  • Monitor and advise daily of any 2996 status codes.
  • Check/advise of the status codes reviewed in the weekly meetings.
  • Assist when assigned with downloading and digitally filing student course certificates.
  • Audit class recordings to flag issues with start and end times, class duration and other variables as per the checklist.
  • Respond to WhatsApp messages for any action items and notifications
  • Assist with graduation preparation as directed
  • Other duties as assigned

Qualifications

EDUCATION

The successful candidate does not require any formal education for this role. High school or post-secondary education in a related field would be considered an asset.

EXPERIENCE

The successful candidate does not require any relevant experience with data administration. Office experience with strong organizational skills would be an asset.

WORKING CONDITIONS

  • Position location: Remote
  • Work environment: Office position
  • Hours of work: 40 hours per week
  • Schedule of work is typically 8:30am – 5:00pm;
  • This is a contract position for a duration of up-to 12 months.

COMPENSATION

The successful candidate can expect a starting range between $18.00 – $20.00 per hour and will be eligible for Medical Benefits upon successful completion of their probationary period.
